Complimentary Communications

I.Purpose
This directive continues the:
  • A.procedures ensuring that complimentary communications received by the Department are processed by the Human Resources Division and that members are informed of such recognition.
  • B.procedures ensuring automated compliments received by the Civilian Office of Police Accountability (COPA) are forwarded and processed by the Human Resources Division and that members are informed of such recognition.
  • C.use of the Summary of Complimentary Letters form (CPD-11.627).
II.General Information
  • A.Complimentary letters that are mailed, e-mailed, or hand carried to the Department are acceptable for recognition.
    NOTE:
    Complimentary letters not postmarked by the United States Postal Service are acceptable.
  • B.Anonymous letters or those without the author’s name, address, and/or contact information for verification will not be acceptable for recognition.
  • C.Complimentary communications will be accepted from any non-Department member.
III.Procedures
  • A.Any supervisor receiving orally communicated compliments from members of the community regarding members of the Department will:
    • 1.encourage the member(s) of the community to:
      • a.compose a letter and send it to the Chicago Police Department, Human Resources Division, Attention: Awards and Recognition Section, Room 2020 SW, 3510 South Michigan Avenue, Chicago, Illinois 60653 or
      • b.compose and send an e-mail to CLEARPATH@chicagopolice.org, the Department’s official e-mail address, as listed under the link "Inside CPD" then the "Contact Us” link located on the Department's website at chicagopolice.org, or
      • c.visit COPA's website at chicagocopa.org to complete an automated compliment.
    • 2.recognize the Department members actions or accomplishments as outlined in the Department directive entitled “Department Awards.”
  • B.Department members directly receiving e-mail correspondence or letters from members of the community complimenting members of the Department will forward the e-mail correspondence (electronically) and letters, with their original envelopes, with a completed Summary of Complimentary Letters form, to the Human Resources Division, Awards and Recognition Section.
  • C.Department members responsible for maintaining and responding to e-mail correspondence sent to the Department’s official e-mail address will electronically forward the compliments to Human Resources Division, Awards and Recognition Section at awardsgroup@chicagopolice.org.
  • D.The Human Resources Division, Awards and Recognition Section, will:
    • 1.enter one complimentary letter credit into a member’s computerized award record.
    • 2.mark the Summary of Complimentary Letters form with the award number with the date entered and return it to the unit commanding officer of the complimented member.
    • 3.direct a copy of the automated COPA compliment, e-mail, or letter containing the acknowledgment to the member(s) complimented.
